Getting Started
Creating an account
Visit stoxbay.com/register and choose your account type: warehouse provider, business customer, or individual customer. Provide your name, company name (for businesses), email, phone, market, and a secure password. You will receive a verification email to activate your account.
Password requirements
Passwords must be at least 8 characters. We recommend using a mix of uppercase letters, lowercase letters, numbers, and symbols.
Supported markets
Stoxbay currently operates in Saudi Arabia (SAR), United Arab Emirates (AED), Jordan (JOD), United States (USD), and Canada (CAD). More markets are added regularly.
Finding and Booking a Warehouse
Searching for warehouses
Sign in and go to "Browse Warehouses". Use the filters to narrow by market, city, area, pricing type (per square meter, per pallet, per cubic meter, or per day), features (cold storage, 24/7 access, loading docks, etc.), and intended use case.
Requesting a quotation (RFQ)
Open a warehouse listing and tap "Request Quotation". Describe your storage needs: area or quantity, duration, start date, product categories, and any special requirements. The warehouse provider will respond with an itemized quote.
Comparing quotations
You can submit multiple RFQs and compare competing quotations side-by-side. The compare view normalizes pricing to per-square-meter-per-month so you can evaluate value accurately.
Accepting a quotation and paying
When you accept a quotation, you’re taken to secure checkout powered by Stripe. After payment succeeds, a booking is created and both you and the warehouse provider are notified. You can view the booking, invoices, and manage your inventory directly in your dashboard.
For Warehouse Providers
Listing a warehouse
From your dashboard, open "My Warehouses" and tap "Add Warehouse". The 6-step wizard covers basic info, location, features and use cases, pricing tiers, contact details, and working hours. New listings are reviewed before going live.
Responding to RFQs
Incoming quotation requests appear under "Quotations". Open an RFQ to see the customer’s requirements, add line items (storage, handling, insurance, addons), and set a validity date. The quotation is binding once sent.
Managing bookings, shipments, and inventory
Once a booking is confirmed, it moves to "Bookings" where you can track its lifecycle. Use "Shipments" to record inbound and outbound movements, and "Inventory" to manage advance shipping notices, stock receipts, and stock on hand.
Getting paid (settlements)
Stoxbay collects payment from customers on your behalf and transfers your share (net of commission and applicable taxes) to you on a regular settlement cycle. Settlement status is visible on each transaction.
Payments, Invoices, and Refunds
Accepted payment methods
We accept major credit and debit cards via our payment processor Stripe (Visa, Mastercard, American Express, mada). Payments are billed in the local currency of the market where the warehouse is located.
Taxes
Applicable taxes are calculated automatically and shown clearly in every quotation and invoice. Saudi Arabia, UAE, and Jordan include VAT/GST; Canada includes GST/HST; United States taxes are calculated via Stripe Tax where applicable.
Refunds and cancellations
Each booking has its own cancellation policy set at the time of quotation. Refund requests are processed according to that policy. If you believe a refund is warranted outside the stated policy, contact support@stoxbay.com.
Invoices
Invoices are generated automatically and available under "Invoices" in your dashboard. In Saudi Arabia, invoices include the metadata required for ZATCA e-invoicing.
Security and Privacy
Two-factor authentication (2FA)
Enable 2FA to protect your account with a time-based code from an authenticator app (Google Authenticator, Authy, 1Password, Microsoft Authenticator). Open Profile → Security Settings → Set up Authenticator App, scan the QR code with your app, and confirm the 6-digit code. You will also receive backup codes to store safely.
Biometric login (mobile only)
On our iOS and Android apps, you can enable Face ID, Touch ID, or fingerprint login for fast, secure access. Open Profile → Security Settings → Biometric Login and tap Enable. Biometric data never leaves your device — Stoxbay only receives a success or failure signal.
Your privacy
We take privacy seriously. See our Privacy Policy at stoxbay.com/privacy for complete details about what we collect, how we use it, and your rights.
Team Accounts and Integrations
Inviting team members
Business customers and warehouse providers can invite team members with specific permissions. Open "Team" or "Staff" in your dashboard and send an invite with a role and permission set. Invitations are sent by email.
ERP and CRM integrations
Business customers on the Ultimate tier can connect SAP, Oracle NetSuite, Microsoft Dynamics 365, Odoo, Salesforce, QuickBooks, Xero, and Zoho. Open "Integrations" to subscribe, configure credentials, and map fields between systems.
Webhooks and REST API
Available on paid integration plans. Manage API keys and webhook endpoints from your dashboard. See our developer documentation for endpoint reference, request signatures, and retry behavior.
Troubleshooting
I can’t sign in
Use the "Forgot password" link on the login page to reset your password. If you have 2FA enabled and lost access to your authenticator app, use one of your backup codes or contact support@stoxbay.com for account recovery.
I didn’t receive a verification or notification email
Check your spam folder. If still missing, wait a few minutes and retry. Ensure the email on file is correct. If the issue persists, contact support@stoxbay.com.
A payment failed
Payment failures can be caused by bank restrictions, insufficient funds, or 3-D Secure challenges. Try a different card or contact your bank. If the problem continues, send the failed transaction reference to support@stoxbay.com.
The mobile app isn’t loading
Force-quit and reopen the app. Make sure you’re running the latest version from the App Store or Play Store. If issues persist, check your internet connection, then contact support@stoxbay.com with your device model and iOS/Android version.
